Terms of service

Effective September 16, 2026

Sterling E Solutions makes BackOffice, OfficeKit and the Windows tools. These are the rules for buying them and using them. They are written to be read, because you should not need a lawyer to find out what you bought.

You need to be 18 or over, and using this for business. These are business tools, not consumer products.

What you are buying

What buying it once does not promise

The honest version is worth more than the flattering one. A one-time price buys a licence that does not expire. It does not promise that a hosted service runs forever, that outside services we connect to (Stripe, Plaid and the rest) keep working the way they do today, or that updates arrive indefinitely. What it does promise is that nothing you already bought gets taken away or moved behind a new monthly fee, and that you can always get your data out.

If Sterling ever winds down

Because you paid once instead of monthly, you deserve a floor under that. If the service is ever discontinued, you get at least 90 days notice, and your export stays available for the whole of that period.

Paying

Payments are handled by Stripe. We never see or store your card number. Prices are in US dollars and do not include any sales tax that applies where you are. Every purchase comes with 30 days, money back, no questions asked — the refund policy has the detail.

Your customers money

Invoice payment links run on Stripe Connect, which means money from your customers goes straight into your own Stripe account. Sterling never holds your money and is not a party to those payments. Refunds, chargebacks and arguments about the quality of the work are between you and your customer.

The Windows tools

QuickFill, PhotoStamp, Job Clock and FormFill are $9 each, once, with a 14-day full trial first. They run entirely on your own computer, offline, with no account. Your licence key arrives by email and you paste it into Settings.

Your data, and your customers data

Documents, taxes and compliance — read this one

The software writes invoices, estimates, completion reports and certificates. It records compliance-related information like inspection checklists and chemical application logs. It works out tax estimates, such as the Schedule C sorting and the figure to set aside. It produces tax-related export files.

Nothing in the software is a claim that your business is compliant with anything. That part stays yours.

Seats and the kill-switch

The business owner controls field seats: pairing, permissions, sync direction, and immediate lock-out. If you are a field worker on a paired seat, the business that owns the account controls your access and what you can see. Locking a seat cuts off that device; it does not delete work already captured.

Fair use

No unlawful use. Do not probe, overload, or try to break into the service. Do not resell access, do not use it to send unsolicited messages, and do not upload things you do not have the rights to. Accounts can be suspended for any of that.

Availability

BackOffice and OfficeKit are hosted, and no specific uptime is promised. OfficeKit field capture works with no signal at all and syncs when you are back in range. Some features keep data on the device, which makes backing up through the export tools your job. When the software is updated, stored data structures are added to rather than repurposed or destroyed — fields you have already filled in do not get quietly reused for something else.

No warranty

The software is provided as is. It is built and supported by one person, carefully, but it is not promised to be free of faults or to be the right fit for your business. If it is not what you need, that is what the 30 days are for. To the extent the law allows, there are no implied warranties of merchantability or fitness for a particular purpose.

Limit of liability

To the extent the law allows, Sterling E Solutions is not liable for lost profits, lost data, or indirect or consequential losses, and total liability for any claim is limited to what you actually paid. Export your data regularly; the export exists for exactly that reason. Some states do not allow these limits, in which case they apply as far as they are permitted.

Ending it

Stop whenever you like. We may end a licence for a serious breach of these terms, and if that happens your right to export your data lasts another 30 days.

Changes

If these terms change in a way that matters, it will be announced in the app or by email at least 30 days before it takes effect, and the date at the top changes. For refunds, the terms that count are the ones in effect when you bought.

Which law applies

These terms are governed by the laws of the Commonwealth of Pennsylvania, United States.
